This Privacy Policy explains how Tayeb Sustainable Management Consultancy LLC, a Wyoming limited liability company that operates ReplyDesk ("we", "us" or "our"), collects, uses and protects personal information when you visit our website or use our ReplyDesk AI front desk or consulting services (the "Service"). When we handle information you share with us during a consulting engagement, we use it only to deliver that engagement and keep it confidential.
1. Information we collect
Website visitors
- Information you send us, such as your name, email address, phone number and business details when you email or call us.
- Demo chat. The chat demo on our homepage runs entirely in your browser with preset answers. Messages you type there are not stored or sent to us.
- Cookies and analytics. Our website does not currently use cookies, advertising trackers or analytics tools. Our hosting provider may keep standard server logs (such as IP address, browser type and pages requested) for security and reliability. If we add analytics in the future, we will update this policy first.
Clients
- Account and business information, such as contact names, email addresses, phone numbers, business details, and the information you give us in our intake form.
- Billing information. Payments are made by bank transfer or through a third-party payment provider. We receive limited details such as your name, billing address, payment reference and payment history, and, for card payments, the last four digits of your card. We never receive or store your full card number.
- Communications between you and us.
Our clients' customers
When our clients use the Service, their customers' enquiries are handled by the AI assistant. This may include names, phone numbers, email addresses, service addresses, appointment details and the content of messages or calls. We process this information on behalf of our client, who is responsible for it as the business the customer contacted. If you are a customer of one of our clients and have a question about your information, please contact that business directly; we will help them respond.
2. How we use information
- to provide, set up, operate and support the Service;
- to process payments, send invoices and manage subscriptions;
- to prepare monthly results reports for our clients;
- to respond to enquiries and provide customer support;
- to keep the Service secure and prevent fraud or misuse;
- to comply with legal, tax and accounting obligations.
We do not sell personal information, and we do not use our clients' customer data for our own marketing or to train AI models for other clients.
3. How we share information
We share personal information only with service providers that help us run the Service, under contracts that limit their use of it, and only as needed for that purpose:
| Category | Purpose |
|---|---|
| Banking and payment processing providers | Taking setup and subscription payments |
| Website hosting (Netlify) | Hosting our website |
| AI model providers | Generating the assistant's replies |
| Telephony, SMS and email providers | Sending and receiving calls, texts and emails for the assistant |
| Calendar and productivity tools | Booking appointments and delivering reports, as connected by the client |
We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a sale or reorganization of our business, in which case this policy will continue to apply.
4. Data retention
We keep client account and billing records for as long as needed to provide the Service and to meet legal, tax and accounting requirements (generally up to 7 years for financial records). Conversation and lead records handled for a client are kept while that client's subscription is active and deleted within 30 days after it ends, unless the client asks us to delete them sooner or the law requires us to keep them.
5. Security
We use reasonable technical and organizational safeguards to protect personal information, including encrypted connections (HTTPS), access controls and reputable service providers. No method of transmission or storage is completely secure, but we work to protect your information and will notify affected clients of any breach as required by law.
6. International processing
We and our service providers may process information in the United States and other countries. Where required, we use appropriate safeguards for international transfers.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. To make a request, email us at the address below. We will respond within the time required by applicable law and will not discriminate against you for exercising your rights. If you are in the European Economic Area or the United Kingdom, you may also complain to your local data protection authority.
8. Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new effective date and, for material changes, notify active clients by email.
